How do I compose and send an email using the Mailtool?

Note: The Mailtool may not be listed by default in your Tool Menu. You can add the Mailtool to your tool list using Site Editor / Edit tools.

Go to Mailtool.

Select the email recipients.

Select the email recipients.

When you compose a message in the Mailtool tool, you have the option to select recipients in the course by All, Role, Section, or Group.

Choice 1: - Check All

This will send an email to everyone having an account on the site.

Choice 2: Click Roles.

This allows you to send an e-mail to users based on their course role. Checkmark the role.

If you click on the role name, a list appears with the individual users for that role. Checkmark the user(s)

Choice 3: Click Groups.

If the site has groups (Site Editor / Manage Groups), this allows you to send an e-mail to users based on their course group. Checkmark the group.

If the site has Sections (Site Editor / Edit Tools / Sections), this allows you to send an e-mail to users based on their course section. Checkmark the section.

Click Other Recipients (Optional)

This opens an address box allowing you to add recipients that are outside of the course.

Enter a subject line.

Click the Attach a file link if you would like to browse for and attach a file to your email.

Enter the message body text.

Tip: Use the Rich Text editor to format your text, add links to Resources or web sites or add images, audio or video.

Checkmark to receive a copy. (Optional)

If you would like to be copied on the email message, click the box next to Send me a copy.

Select to add to Email Archive. (Optional)

Select to add to Email Archive. (Optional)

If you would like the email message to be added to the course Email Archive, click the box next to Add to Email Archive, visible to all site participants.

Note: This option only appears if the Email Archive tool is active in your site.

Click Send Mail.

After the email is sent, a receipt is displayed indicating that the email has been sent.
